Event Notifications

To add an event notification for a calendar item, follow these steps:

 

  • Click on the Communication menu section to expand it.
  • To add the notification when adding a new event, from the expanded Communications menu section, click the Calendar Events link. The Event Listings page is displayed. Click the Create New Event link on the top right of the page. Add the event information, check the box at the bottom of the page for Event Notification, then click the Save button.
  • To add the event notification when editing an existing calendar event click the Calendar Events link. The Event Listings page is displayed. Select a date range to search and click Go. Click on the Edit link next to the event you would like to edit. Check the box at the bottom of the page for Event Notification and click Save, or click the link to the right of that Set Up Notification.
  • This will display the New Event Notification page.
  • Check the box associated with the Email List to which you would like the notification sent.
  • Enter any additional email addresses in the Additional Addresses box. Emails can be separated with a comma or a semi-colon.
  • Enter the From Display Name.
  • This is the name that will show in the From field of the email.
  • Enter the From Email Address.
  • This is the email address that will be displayed in the from field of the email. If they hit reply on their email, this is the address that will be used.
  • Enter the Subject to be used for the email notification.
  • If you would like to have an email sent as soon as the Event Notification is saved, check the box Send Notification Immediately Upon Creation.
  • Enter the Primary Notification time frame.
  • This can be used in addition to the Immediate Notification and the Secondary Notification.
  • If you would like to send an additional notification, select the Secondary Notification from the drop down box.
  • This can be used in addition to the Immediate Notification and the Primary Notification.
  • Select the radio button to determine the Default Body Type for the email content – either HTML or Text.
  • Enter the email body text. If you are sending and HTML email, enter the text in the HTML Body box. If you are sending a Text email, enter the content in the Text Body box.
  • Click Save to save the Calendar Event Notification.
