Content Management Work Flows

xCatalyst offers two content management work flow options, Basic and Approval. The difference between the two options is whether or not approvals are required before a page can be checked in or published. When approvals are required, additional features and functionality become available including:

  • Assigning approval assignees
  • Automated email notifications
  • Ability to assign reworks
  • Ability to create ad hoc approval work flow by assigning approval to other content editors.

Basic Work Flow

The content management work flow (bypass approvals) steps include:

Checkout >> Edit >> Rebuild >> Check In >> Publish

  1. Checkout - A page is checked out when the Edit link is clicked. While a page is checkout  the page is unavailable to other content editors to prevent two editors from making changes to the same page at the same time.
  2. Edit - Changes are made to the page content or meta data. Each time a page is saved the page checkout history is updated. The History link on the Workspace enables users to rollback to previous saved version of the page.
  3. Check In and Rebuild - Caches content and pre-processes tags. This creates an archive of the page content that can be used as a back up in case of any problems.
  4. Publish - When the approved page changes are published they become available on the public website.

Approval Work Flow

The content management work flow (with approvals) steps include:

Checkout >> Edit >> Rebuild >> Check In >> Approval (1,2,3) >> Publish

  1. Checkout - A page is checked out when the Edit link is clicked. While a page is checkout  the page is unavailable to other content editors to prevent two editors from making changes to the same page at the same time.
  2. Edit - Changes are made to the page content or meta data. Each time a page is saved the page checkout history is updated. The History link on the Workspace enables users to rollback to previous saved version of the page.
  3. Rebuild - Caches content and pre-processes tags. Once a page is rebuilt the Check In and Approve (with privileges) actions are available.
  4. Check In - When a page is checked in it is placed in the Approval queue. The approval assignee receives an email notification and the page status is "pending approval".
  5. Approve (1,2,3) - When the page is approved, the page is archived and is placed in the publication queue. There can be up to three approval assignees.
  6. Publish - When the approved page changes are published they become available on the public website.
