Publication Guidelines

Used to build and maintain a history of publications to be included in a faculty member’s CV.

Important Rules

Text Box: Submitted, in-press, and published manuscripts:Submitted, in-press, and published manuscripts may be entered into the FIS database. Data entry of submitted manuscripts is permitted for the purpose of future inclusion in a comprehensive customized CV Report. According to the institutional standard, only in-press and published manuscripts may be included on the institutional CV Report.Before presenting your CV for promotion and tenure committee review, delete submitted manuscripts from the CV Report Word document. Publications Home Page

 

The Publications home page provides many search capabilities, such as searching for a specific type of publication or a unique publication by title or author; or searching by status, i.e., accepted publications or newly imported publications. Based on search results, the summary page will be refreshed with applicable data fields.

Displaying summary page for a specific publication type:

On the Search screen, select the desired publication type from the Type drop list.

  • Click the Search button. 

The summary page will be refreshed with a screen containing data fields applicable to that publication type.

Displaying summary page for a unique publication:

  • Enter title, journal or book in which the publication appeared, and/or author.
  • Click Search button.
  • The summary page will be refreshed with a screen containing data fields applicable only to that unique publication(s).

Publications Records Management

Accepting or deleting newly imported publications:

Publications from July 2005 through March 2007 have been imported from PubMed and appear in red on the main Publications summary page (this import feature will be made available to faculty and their administrative assistants in a future release).

Identifying publications belonging to a specific faculty member is a complex process because of like names and even like initials of authors and collaborators among publications. To ensure that that a publication belongs to the faculty member, it is imperative that you review every newly imported record shown in red and either accept or delete it from the FIS data.

To accept or delete newly imported publications:

  1. Click Edit next to the record being evaluated.
    The following Status bar will be displayed at the top of the Publications screen:
  2. Select publication Status.

    1. If Under Review is selected, the newly imported publication will not be accepted into the faculty member's list of publications. After the record is saved, you will return to the summary screen and the record will remain displayed in red.

    2. If Accept Publication is selected, the newly imported publication will be accepted into the faculty member’s list of publications. After the record is saved, you will return to the summary screen and the record will turn black.

    3. If Delete Publication is selected, the record will be removed from FIS.

  3. Click Save button.
    You will return to the Summary screen.

On the Search screen, make a selection from the Status drop list. Click the Search button. All records satisfying the search criteria will be displayed.

Customizing the sort (print) order of publications within each publication type:

Note: This feature is described primarily to keep users informed of enhancements. It is anticipated that only a small percentage of users will utilize this feature.

Publications are displayed on the CV Report in ascending date order by publication type. Some faculty prefer to display their publications in a specific order, such as by importance of the publication vs. chronologically. This feature provides for customized sort order, but for committee review the CV must be presented in standard ascending date order.

To customize the sort (print) order:

  1. On the Search screen, make a selection from the Type drop list.
  2. Click the Search button.

    Change Sort Order and Reset Sort Order actions will appear in the top action bar

     

     

  3. Click Change Sort Order.

    Change Sort Order for Publications screen will be displayed.

     

     

  4. Click number(s) listed in the column labeled Sort Order and make changes as desired.

  5. To change sort order back to the original, click Reset Sort Order on the top action bar.

  6. When sort order is complete, click Save.
