Reminders

From the Reminders menu option, under Membership, you can find Delivered Automated Reminders, or setup Reminders.

To Search for delivered reminders:

  1. Select the Record Type (Company, People, Resume)
  2. Select the Company (if applicable)
  3. Select the People (if applicable)
  4. Enter the Date Range Sent
  5. Check to display the Subject and Body of the email
  6. Enter a specific email address (if applicable)

From the search results, you can view the individual the reminder was sent to, the company (if applicable) and make edits to these profiles if needed.

From the Reminder Setup link in the top right corner, you can set the Reminder settings for Membership.

To Setup Reminders:

  • Fill out and select the following fields
  • Grace Period – How many days after the expiration date can the member still renew their membership
  • Reminder Starts n Days Prior – How many days before the expiration date can the member renew their membership
  • Reminder Frequency – How many days the reminder will resend itself, after the initial reminder, and until the member renews
  • Reminder Tickle Limit – How many reminder emails are sent by the system at one time. (The system will continue to send the reminders until all are sent)
  • Generate Invoice with Reminder – Should xCatalyst create an open invoice as soon as the reminders are sent
  • Reminder Recipients – Who receives the reminders
    • People Types
    • People Membership Types
    • Chapters
    • Company Types
    • Organization Types
    • Contact Types

Now you can Preview Upcoming Reminders or Send Manual Reminders. You can also Configure the Reminder Content from this screen. Once the automated reminders have been configured and are in use, you can come back to this screen and View Send AutoReminders.
